FINITO!

Hi everyone!

This would be my final post, marking the end of my internship period and soon, the university life. During the two months internship, I have gained lots of insights into the real PR industry.

For this last post, I would like to share some pointers with everyone with what I have learnt after my internship:

1.     PR is a challenging job as we are the intermediaries for many parties like our clients, the media and various stakeholder groups.

2.     Time management and multi-tasking are very important skills - as PR practitioners are required to handle several accounts at any time.

3.     Understanding the nature and products of the clients well, to prevent getting off-track or missing any media coverage when doing media monitoring.

4.     Do not overpromise. Deliver what you can promise to the client, as reliability is the key!

5.     Building good media relationship is vital- you never know when you will need their help.

6.     Be prepared and flexible for any situations especially during events- Expect the unexpected.

Lastly, on a lighter side, I would like to share an article about the 15 professions that drink the most coffee. Guess where does the PR professionals ranked at?

Though I didn’t have much coffee during my internship period, but I have observed that my colleagues would drink several cups of coffee throughout the day to keep themselves awake. Reason being, some of them were in the office working since 6am, and leaving later than 6pm due to the amount of work that needs to be completed for various clients. So, what are your thoughts for this article??

Hope everyone have enjoyed their internship as much as I did, and wishing everyone luck for your future endeavours! :)

An impromptu session

Hi everyone!

This would be my third post, and I will be touching on an interesting training that my company had.

After our work-in-progress (WIP) meeting, my supervisor had an impromptu Question and Answer (Q&A) session for everyone. Each of us would be asked a different topic that appears to be the news that most people are interested for that particular day, and we are supposed to express our view points to which we agree or not.

My topic was about the education in Singapore on the change of the English syllabus for primary schools. Other topics that my colleagues were asked on are politics, entertainment and social. After each of us presented our view points, other colleagues were encouraged to ask any further questions they might have with regards to the topic or to the answer that a particular person had commented.

After this Q&A session, my supervisor stated his reasons in holding this session. The reasons are:
-          To build up our presentation skills and confidence level
-          Not to think about anything and just present our true views to the topics
-          Not speaking/expressing views by memorising it off from our notes

I felt that the session is a unique way of training to improve our skills. In the PR industry, it is important for us to have good presentation skills and confidence to present the agency’s ideas well to the client. This little training also allows us to understand more about things that are happening in the society, the opinions of others, as well as a small gossip session for all of us to bond.

My very first PR event...

Hello everyone!

This would be my second post, and I will be sharing a brief overview about my very first PR event – GoMyWay Launch.

To start off with a little introduction about GoMyWay: GoMyWay is a location-based app that allows users to share taxis. Founded by four friends, they look to leverage technology to achieve greater efficiency in Singapore’s transit infrastructure. There are many benefits in using GoMyWay, including sharing the fare of the taxi trip, potentially reducing waiting times by reducing taxi queues, achieving greater efficiency to contribute positively to the environment and reduce congestion, and interacting socially with interesting people. The GoMyWay App is available for free download at the iPhone App Store and coming soon to Android.

Days before the event
The GoMyWay Launch was held on 22 August 2012, at Sansui Contemporary Japanese Dining and Bar (Clarke Quay). The whole event was actually split into two parts, where both the media launch and the consumer launch were taking place on the same day. As such, lots of preparation works were required for the different group.
Days before the event, the entire MAX team had several long meetings, with my colleagues briefing us on the event schedule, our respective roles, and other work-in-progress issues to be completed.  A list of things to prepare was also listed out. I was tasked to purchase the items required for the event, getting the media name tags ready for the lanyards, and the packing and organising of the event box (important materials for the event).

Day of the event
Though the event was held from late afternoon onwards, time was passing fast for all of us in the office with the event preparations and other work from the company’s other clients. Throughout the whole morning, other than the usual daily tasks, I was assigned to burn the soft-copy of the press materials into CD-ROMs (in addition to the hard-copy press materials), and making sure that the files could be opened. At the same time, I was peeling the price tags off from the files. Soon, I started to pack the media kits, lanyards and the event box, making sure that all materials were included in it. My colleagues were also very helpful in helping me along with the packing.

Our team went down to the event venue two hours before the media launch, to make sure that the arrangements for the media launch were all in place. I was also tasked to prepare the media registration area and arrange the media kits and lanyards accordingly. But soon, just about an hour before the media launch, a small nerve-wrecking situation happened. One of the journalists came much earlier than expected and I was the only one manning the registration area (the rest of my colleagues were inside the venue briefing the founders and having a final check through). Luckily, I was able to manage the journalist well after I had regained my composure. It was a pretty scary situation as it was my very first event in contact with a journalist. Luckily everything went well! As time passes, more journalists began to arrive at the venue, and for those journalist who have not yet arrived, my colleague and I were doing call-downs to them. But sadly, there were some journalists who were unable to attend last minute.

The whole media launch went smoothly according to schedule, first starting off with a presentation by the founders, and Q&A sessions. There is also a small demonstration area for the media to explore the app using the iPads available.

After the media launch, our team went for a quick dinner around the area before the consumer launch party at 7pm. For the consumer launch party, only attendees who have RSVP their attendance on the GoMyWay event page were allowed into the restaurant. I was assigned to help take photos for the attendees with the taxi cut-out and other ad hoc tasks on-site. There were free flows of F&B throughout, live music and an interactive game. For the game, attendees were to key in their next destination after the party using the GoMyWay app. Four lucky winners, whose destinations are the nearest to any of the four founders’, would win $20 in cash and a trip together with the chosen founder.

Though it is a little messy with the amount of attendees for the event, but overall, the event was a success in being able to spread awareness of the app and getting people to use it.

It was really an eventful and interesting day for my very first PR event. I gained many experiences, and had learnt more about press events and the PR skills needed before and on the event. The right planning, team work and management are really the important ingredients for a successful event.

From Classroom to the Real Working World

Hi everyone!

I am Delvina and currently on my final lap in completing my undergraduate degree at Curtin Singapore. My internship officially started on 2 August 2012, and I am really glad that I was able to find a placement. This would be my first post and I would like to start off by introducing the PR agency that I am interning with and my role.

MAX PR is a fast-growing independent PR agency based in Singapore. The agency specialises in healthcare, consumer, crisis and corporate communications. It comprises well-established and veteran practitioners in the Asia Pacific regional marketing communications landscape and has presence through its own staff/offices or affiliate partners in 14 markets throughout the region.

The PR agency consists of only six people including myself. My main role in the agency is media monitoring/ media clippings, materials development, social media updates (Facebook), media list updates, event help, desk research and reports, and other ad-hoc tasks.

Media Monitoring/ Media Clippings
There are various newspapers which I have to go through every morning. My role is mainly to look for news in print media that has references to a specific client and the agency’s designated topics of interest, to record them down and to clip the client’s coverage. Other than from the print media, I would also need to monitor and clip news articles from the Internet, and from various business e-newsletters that my colleagues had assigned to me.

Materials Development
Till now, I have helped to do up part of the wrap-up report for the agency’s two clients. I am tasked to collate all the media coverage of the clients into the PowerPoint slides as well as to research for the circulation numbers that each publications and websites have.

Social Media updates (Facebook)
I am tasked to update the Facebook statutes for a client thrice a week. These updates include post-event comments and other health related news (as the client is from a healthcare industry).

Media List updates
The update of media list is quite a taxing job as I had to go through many different publications and Internet websites from both Singapore and international. But I feel this job is an important one as there are frequent changes within the various media themselves, where some journalists either resigned or transferred to another department. As such, it is important for us to keep our media list updated, and thus able to pitch the stories of our clients to the right media, with the right contacts.

I am happy to be spending these two months at MAX PR, to learn and to gain a lot of invaluable PR experiences. I will be sharing more on my internship soon. Till then, hope everyone has great experience in their respective companies!

Cheers,
Delvina Chiang
