This was a challenging event planning that I had to work on as it started when I commenced my internship. Pacific Media Partnership conference (PMPC) which will be held at New Papua New Guinea from the 22-28 August 2011 aims at providing a great opportunity for the participants to share knowledge and expertise to improve and promote media coverage in the Pacific countries.
It all started when I was given a tentative programme, and this was to act as a guideline of every work that I was expected to do. I had to start working on the programme itself, to make improvements and add any other activities that are to take place during the conference. I also had to decide on the theme of the event. I also had to work on the Event logo that will be used throughout planning of the event. I worked on the Invitation letter, the members were supposed to get invites and I were to make them aware of the upcoming event. I had to work on the distribution list, which had to have the list of all the members and all that will be invited.
PMPC Registration form: this is where I designed a form explaining how the members can register and stated that it is to confirm the intension to participate in the event by anyone who will register. PMPC Hotel reservation form: this is a form that I designed for all the delegates who will confirm their participation in the event; this is to reserve accommodation for them at the hotel that is to host, Lamana Hotel. PMPC Budget: this was the most stressing task, I had the hotel invoice details and I was to extract the budget by looking at the estimated number of people who are likely to attend the event. PMPC website: this was simpler than I anticipated it will be harder. I had to create a webpage, decide on what to include on the website. But because of my boss`s encouragement I made it and he was very proud of me. Sending emails to members and Communicating with Partners.
That was just to enlighten you a bit of the work load I had to do.

Hi Thapelo, you really did a lot of work on this one and all the credits to you. I think you are excited for coordinating such a big event and you now have that experience to use in future as Public Relations pro. As I have also been in this field of events during my placement I know very well that is not simply as someone might think because more is done at an initial stage. Communication was also taken care of, in this one as you communicated with the key stakeholders in updates of the event because they always need to know in every development.
